Write the requirement in plain language
One honest page beats a forty-page specification written in jargon. Who will use this? What do they do today, step by step? What should happen instead? If you can answer those three questions clearly, any good technology partner can take it from there.
Gather the real materials
Existing logins, sample data, the reports you actually use, the spreadsheet that secretly runs the department. Reality teaches more than description. A developer who sees your real invoice format and your real customer list understands your business in an afternoon.

Nominate one decision-maker
Projects stall on committees. Feedback arrives in contradictory waves, nobody can say yes, and timelines quietly double. Choose one person with the authority to make calls and the availability to make them quickly — it is the single cheapest way to speed a project up.
Decide what success looks like
'Enquiries answered within ten minutes.' 'Five admin hours saved weekly.' 'Customers can see their own status.' A measurable target tells everyone when the work is done and whether it worked. Without one, a project is never finished — it just eventually stops.
